One screen that shows every open job and who has it

The TaskLoop admin dashboard is where requests are registered and assigned. Reception and supervisors give each task an owner, a priority, a deadline and instructions, then watch all open requests and department workload update in real time.

The loop

How it works

  1. Register

Reception logs a call from room 305, or a guest's QR request appears on its own.

  2. Assign

The supervisor picks a person or department, then sets the priority, deadline and instructions.

  3. Watch

The live list shows the job move from assigned to accepted to completed.

  4. Act on exceptions

Overdue tasks escalate, and the supervisor reassigns or follows up.

What the admin dashboard is

The admin dashboard is the control screen of TaskLoop. Reception and supervisors use it to register requests, assign tasks to people or departments, set priority, deadline and instructions, and see every open job and each department’s workload in real time. If the staff app is where work gets done, the dashboard is where it gets organised.

The workflow, step by step

1. Requests arrive in one list

Guest requests submitted from a room QR code appear on the dashboard automatically. Requests that come in by phone, email or in person are registered here by reception. Either way, they land in one live list rather than across a notebook, a phone log and three chat groups.

2. Assign with the details that matter

For each request, the supervisor or reception sets:

  • Owner. A named staff member, or a department such as maintenance, housekeeping or F&B.
  • Priority. So urgent jobs sort to the top for everyone.
  • Deadline. When it should be done.
  • Instructions. What the person needs to know before they arrive.

The assignee gets a push notification on the staff app right away.

3. Watch status change live

As staff accept and complete tasks, their status updates on the dashboard. The supervisor does not have to phone round to ask whether anyone has taken the job in 1204. The list shows it.

4. Handle the exceptions

When a task goes past its deadline, it escalates to a supervisor. The supervisor can reassign it, follow up with the owner or change the deadline. Overdue work is visible, not hidden in someone’s pocket.

Who uses it

Role Typical use
Front desk / reception Registers phone and walk-in requests, assigns guest requests, answers “where is my request?”
Department supervisor Assigns within the team, balances workload, handles escalations.
Chief engineer / executive housekeeper Watches their department’s queue and late jobs.
Duty manager / building manager Looks across all departments during the shift.
General manager Checks the live picture, then the reports for trends.

What the screen shows

  • Open requests. Every open request and task with location, description, owner, priority, deadline and status.
  • Department workload. How many open tasks each department has right now, so overload is easy to spot.
  • Statuses. Unassigned, assigned, accepted and completed, with completion timestamps and any photo the staff member attached.
  • Overdue items. Tasks past their deadline, which have escalated to supervisors.

Using it at shift handover

At the end of a shift, the dashboard is the handover. The outgoing duty manager does not need to rely on a written list of “things still pending”. The open tasks, their owners and their deadlines are already on screen for the incoming team. That makes it much harder for a request logged at 10:55 pm to be forgotten by the morning.

Setting priorities and deadlines that mean something

The dashboard is only as useful as the details entered into it. A few habits make a big difference.

  • Use a small set of priorities. Two or three levels, such as urgent, normal and low, are enough. If everything is urgent, nothing is.
  • Give every task a deadline. A task without a deadline cannot become overdue, so it cannot escalate either. Agree a default for routine jobs, for example the end of the shift.
  • Write instructions for the person arriving, not for the record. “Guest in room, knock twice, spare key at desk” helps more than “see previous request”.
  • Assign to a department when anyone can do it. Assign to a named person when the job needs a specific skill or a specific technician who knows the history.

Supervisors who start the shift by clearing unassigned items, and then check the overdue list every hour, usually find that the dashboard becomes the place everyone looks. Phone calls asking “has anyone taken this?” drop off because the answer is already on screen.

Assignment suggestions and export

  • AI-assisted assignment. The dashboard suggests an owner and a priority for each task. A supervisor can always override it.
  • Export. Lists and reports export to PDF and CSV.

What it doesn’t do

  • PMS data. The dashboard does not pull room status or reservations from your PMS. There is no PMS integration or public API.

Questions people ask

Who should have access to the dashboard?

Usually reception or the front desk, department supervisors such as the chief engineer and executive housekeeper, the duty manager and the general or building manager. Frontline staff normally use the staff mobile app instead, because it shows only their own tasks. The exact roles you set up are worked out during onboarding.

Does the dashboard replace our PMS front-desk screen?

No. Your PMS, such as Oracle OPERA, Cloudbeds or Mews, keeps reservations, check-in and billing. The TaskLoop dashboard runs operational work, meaning requests, tasks, assignment and follow-up. The two sit side by side on the front-desk computer. They are not integrated.

Can I see which department is overloaded?

Yes. The dashboard shows department workload in real time, so it is clear when housekeeping has a long queue while maintenance has spare capacity. Supervisors use that to reassign jobs or move people during the shift.

Can the dashboard assign tasks automatically?

The dashboard suggests the best-placed person and the priority for each new task, based on workload, skills, location and history. The supervisor accepts the suggestion or overrides it, so a person always makes the final call. The AI task assignment page explains how it works.

Is it usable on a tablet at the front desk?

The dashboard is built for the people at the desk who assign and follow work. Which screens and devices suit your desk setup is easiest to judge in the live demo, where you can try it on the hardware you actually use.
